 Retreat - Terms and Conditions

By completing your booking on the Soul Sanity retreat, you confirm that you have read, understood, and agreed to these Terms & Conditions. We’ve written these to be clear, supportive, and fair for everyone joining us.

Booking & Payments

You can choose to either pay in full or secure your place with a £150 non-refundable deposit.

If paying a deposit, the remaining balance is due 30 days before the retreat start date. We’ll send a gentle reminder ahead of this.

We’re happy to offer flexible payment plans - please get in touch if this would be of interest. If the remaining balance is not received by the due date, we may need to release your place. All payments are non-refundable except as outlined in the cancellation policy below. Prices and retreat details are subject to change prior to booking confirmation. By completing your booking, you agree to contact us first to resolve any payment concerns before initiating a chargeback or dispute, except in cases of genuine fraud or error.

Prefer to pay via bank transfer?
We offer a £10 discount for payments made via BACS (no processing fees apply). Please contact us at
info@soulsanity.io to arrange this.

Cancellations & Changes

We understand that life can shift, and we aim to approach this with care and fairness.

  • All bookings include a £150 non-refundable deposit
  • If you cancel more than 30 days before the retreat, any additional payments will be refunded (minus the deposit)
  • Cancellations within 30 days of the retreat are non-refundable

If you’re unable to attend, you’re very welcome to transfer your place to someone else - please let us know in advance so we can support the change.

Retreat Confirmation

This retreat requires a minimum of 12 attendees to go ahead. If this number is not reached, or in the unlikely event that we need to cancel the retreat, all payments will be fully refunded. We recommend waiting for confirmation before making any non-refundable travel arrangements, as we’re unable to cover external costs.

Travel & Insurance

Participants are responsible for arranging their own travel to and from the retreat. We strongly recommend taking out travel insurance to cover unexpected changes, including cancellations, delays, illness, or personal circumstances.

Third-Party Providers

We work with a number of carefully chosen partners to help bring the retreat experience to life, including accommodation, catering, and specialist facilitators. While we choose these partners with care, we are not responsible for their actions or any issues arising from services they provide directly.

Health & Wellbeing

Our retreats are designed to support your wellbeing in a safe and nurturing environment. By attending, you confirm that you feel able to participate in the activities offered and take responsibility for your own physical and mental wellbeing. Please let us know in advance of any injuries, medical conditions, or additional needs so we can support you where possible. All activities are undertaken at your own pace and comfort level, and we encourage you to listen to your body throughout. Our retreats are not a substitute for medical or psychological treatment. If you have any concerns about your health, we recommend consulting a qualified professional before attending. While our retreats are designed to support wellbeing, we do not guarantee specific outcomes or results from participation.

Responsibility & Liability

We take great care in creating a supportive and safe experience for all participants. However, by attending the retreat, you acknowledge that participation involves a degree of personal responsibility and inherent risk.

To the fullest extent permitted by law, Soul Sanity accepts no liability for:

  • Injuries sustained during the retreat (unless caused by our negligence)
  • Loss, theft, or damage to personal belongings
  • Travel disruptions or delays
  • Circumstances beyond our control

We are not liable for any indirect or consequential losses, including (but not limited to) loss of income, opportunity, or enjoyment. Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, or any other liability that cannot be excluded under UK law. Nothing in these terms affects your statutory rights as a consumer.

Unforeseen Circumstances

We are not liable for any failure or delay in delivering the retreat due to events beyond our reasonable control. This may include, but is not limited to, extreme weather, natural events, travel disruption, illness, government restrictions, or other unforeseen circumstances.

Behaviour & Group Care

We aim to create a safe, respectful, and supportive space for everyone attending. If a participant’s behaviour is disruptive or negatively impacts the wellbeing of others, we reserve the right to ask them to leave the retreat. In this situation, no refund will be provided.

Changes to the Experience

Occasionally, small adjustments to the schedule, accommodation, or facilitators may be necessary. If so, we’ll always communicate openly and ensure the overall experience remains aligned with what you can expect from us.

Photography & Media

During the retreat, we may take photos or videos for promotional purposes. By attending, you consent to being included in this content. If you would prefer not to be photographed or filmed, please let us know in advance and we will fully respect this.
